Avg of 40 Hours Per Week | Salaried Position

Salary: $32,000 for April 28th – October 31st, 2025 (27-week season)

Beach Dreams Office Manager

About the Position:
We are seeking a dedicated and detail-oriented Office Manager to oversee the day-to-day operations of Beach Dreams, a 226-unit seasonal condo association in Wells, Maine. This seasonal position requires strong leadership skills, the ability to manage multiple priorities, and a commitment to ensuring a high-quality experience for owners, guests, and vendors.

Key Responsibilities:

  • Maintenance Oversight: Supervise and coordinate maintenance staff, ensuring all property maintenance tasks, and pool maintenance are completed efficiently and to a high standard. Manage and track maintenance tickets and work orders, ensuring timely resolution.
  • Vendor Coordination: Oversee all third-party vendors providing services such as landscaping and repairs. Ensure quality work, adherence to schedules, and contract compliance.
  • Facilities Management: Oversee maintenance of six bodies of water, including pools and spas, ensuring compliance with safety regulations and cleanliness standards. Ensure all required testing and inspections are completed on schedule.
  • Customer Service & Guest Relations: Serve as the primary contact for residents and guests, addressing inquiries, resolving concerns, and ensuring a welcoming and enjoyable environment.
  • Events & Community Engagement: Plan and execute community events and social gatherings to foster a positive and engaged atmosphere for owners and guests.  Produce a periodic newsletter, and keep all residents informed through announcements, flyers, etc. of all important information and events.
  • Staff Supervision: Manage and provide leadership for part-time, night, and seasonal staff, ensuring clear communication and efficient property operations. Provide all onboarding training. Act as the first point of contact for any staff emergencies or questions during their shift.
  • Property Cleanliness & Rule Enforcement: Maintain a high standard of cleanliness throughout the property and enforce community rules and regulations with professionalism and consistency.
  • Administrative & Technology Management: Oversee and maintain the rental and guest registration system, billing system, card access system, phone and email communication, and other administrative tasks essential for smooth operations.

Qualifications & Skills:

  • Prior property management experience preferred, especially in seasonal or hospitality settings.
  • Strong leadership and organizational skills with the ability to multitask in a fast-paced environment.
  • Excellent communication and customer service abilities to ensure a positive experience for residents and guests.
  • Experience managing maintenance teams and coordinating vendor services.
  • Knowledge of pool and spa maintenance (or willingness to learn) and familiarity with safety compliance standards.
  • Proficiency in property management software, administrative systems, and technology-driven operations.
  • Ability to work flexible hours, including weekends, as needed during peak season to host events, meetings, and respond to operational needs.

Compensation:
This position is paid via salary at $32,000 for the summer season of April 28th through October 31st, 2025.
