Property Manager – Long-Term Rentals & Condo Associations

40 Hours Per Week | Salaried Position
Monday-Friday
Starting Salary: $60,000+ (commensurate with experience)

Join our innovative and fast-growing property management company based in Wells, Maine. We specialize in tech-forward solutions and offer year-round property management services, including vacation rentals and home check services. We’re looking for an organized, motivated, and personable Property Manager to oversee long-term rental and condo association properties.

Responsibilities

Long Term Rentals

Effective Communication:

  • Maintain open and consistent communication channels with tenants, ensuring they are informed about property updates, maintenance schedules, and policy changes.
  • Promptly address tenant inquiries and concerns to foster trust and satisfaction.

Conflict Resolution:

  • Act as a mediator to resolve disputes among tenants or between tenants and management, aiming for amicable solutions.
  • Implement fair and consistent enforcement of community rules and regulations.

Lease Management:

  • Oversee the execution, renewal, and termination of lease agreements in accordance with company policies and legal requirements.
  • Ensure tenants understand lease terms, responsibilities, and procedures.

Leasing Coordination:

  • Advertise and market available properties using multiple platforms, including online listings and social media.
  • Respond to prospective tenant inquiries and schedule property showings.
  • Guide prospective tenants through the application process, including collecting necessary documentation and screening applicants.
  • Prepare leases and coordinate move-in processes, ensuring tenants receive all relevant information and support.
  • Maintain accurate records of vacancies, tenant applications, and leasing activities.

Rent Collection and Financial Oversight:

  • Manage the timely collection of rent and other fees, addressing any delinquencies promptly.
  • Provide tenants with clear explanations of charges and payment procedures.

Move-In and Move-Out Coordination:

  • Conduct thorough move-in and move-out inspections, documenting the condition of units and addressing any issues.
  • Facilitate a smooth transition for tenants, ensuring all necessary information and support are provided.

Tenant Education:

  • Inform tenants about property policies, procedures, and any updates to ensure compliance and awareness.
  • Provide resources or guidance on community living and property amenities.

Property Maintenance & Turnovers:

  • Manage the make-ready process for year-round properties.
  • Act as a project manager by working closely with the maintenance manager to ensure maintenance tasks and turnovers are completed on time.
  • Help oversee routine property maintenance, such as HVAC cleaning, septic pumping, and water filtration servicing.
  • Coordinate landscaping, snow removal, and other service providers.
  • Ensure property walkthroughs are completed, including identifying maintenance recommendations and ensuring lease compliance.

Condo Association Management Responsibilities:

Governance and Compliance:

  • Enforce community rules and regulations to ensure a harmonious living environment.
  • Ensure compliance with association bylaws, state laws, and other relevant regulations.

Financial Management:

  • Assist in budget preparation and present financial reports to the board.
  • Oversee the collection of association fees and manage accounts payable and receivable.

Board Support:

  • Plan, schedule, and facilitate board meetings and community-wide gatherings.
  • Create agendas, distribute materials, record minutes, and follow up on action items.

Community Engagement:

  • Communicate effectively with community residents, board members, and vendors to resolve issues and address concerns.
  • Develop and implement programs and initiatives to enhance the community’s quality of life.

Administrative Duties:

  • Maintain accurate and complete records, including financial statements and resident files.
  • Stay up-to-date on industry trends, laws, and best practices to ensure compliance and continued growth.

Requirements

  • High school diploma or GED (Bachelor’s degree preferred but not required).
  • At least 2 years’ experience as a property manager.
  • Excellent customer service skills.
  • Proficient in Microsoft Office Suite with strong knowledge of computers, software, and social media tools.
  • Reliable transportation for property visits within the Wells, Maine area.
  • A company vehicle may be available, but use of a personal vehicle may be required if all company vehicles are in use.
