Job Title: Hospitality & Booking Coordinator and Administrative Assistant
Location: Wells, Maine
Employment Type: Full-Time, In-Person
Pay: $25.00 per hour

Job Summary:
The Hospitality & Booking Coordinator and Administrative Assistant will play a vital role in ensuring a smooth and exceptional guest experience from inquiry to checkout. This position will primarily support our luxury vacation rental department while also handling some company-wide administrative needs. The ideal candidate is highly organized, detail-oriented, and passionate about hospitality and customer service. Additionally, this role will support company-wide administrative functions, serve as our front desk reception, and handle incoming calls.

Key Responsibilities:

Hospitality & Booking Coordination:

  • Manage booking inquiries, reservations, and guest communications via email, phone, and booking platforms.
  • Ensure seamless check-in and check-out experiences by coordinating with the cleaning and maintenance teams.
  • Respond promptly and professionally to guest concerns, providing excellent customer service and problem resolution.
  • Monitor occupancy rates, cancellations, and last-minute booking opportunities to optimize revenue.
  • Work closely with the Vacation Rental Property Manager and the Sales and Marketing Manager to enhance guest experience and implement guest satisfaction strategies.
  • Solicit as many reviews from guests (and owners) as possible, respond to reviews, and take actions if someone has any issues communicated.
  • Manage getting any Vacation Rental Agreements signed by booked guests and any waivers or property-specific forms that need to be filled out.
  • Be the main point of contact for any guests before, during, and after their stay, ensuring exceptional service.

Administrative Support:

  • Provide general administrative assistance and special project assistance to the team, as needed.
  • Organize and maintain office documentation, supplies, and correspondence.
  • Create and manage guest door access codes for their stay.
  • Enter guest financial information into our Buildium software, managing booking changes, extra charges, etc.
  • Serve as the company’s front desk reception, greeting visitors, assisting walk-ins, and handling all incoming calls.
  • Support company-wide administrative functions as needed.

Qualifications & Skills:

  • Previous experience in hospitality, property management, or administrative roles preferred.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and reservation management software.
  • Customer-focused mindset with problem-solving abilities.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Attention to detail and a proactive approach to tasks.
  • Familiarity with the vacation rental and real estate industries, as well as sales and marketing, is a plus.
